Should Your Website Send Automatic Email Confirmations?

4 min read · October 12, 2026

Someone fills in your contact form, clicks submit, and then sees nothing but a plain page or a form that just resets. Did it work? Many people will submit it again, or call to check. A short automatic confirmation email solves that, and in most cases it is worth setting up.

Why confirmations help

  • Reassurance. The customer knows their message arrived
  • Fewer repeat questions. You get fewer "did you receive my request?" calls
  • A professional feel. A prompt reply shows you are organized
  • A record. The customer has the details if they need them later

For urgent services, such as emergency repairs, a quick confirmation also tells the person what to expect next. That can ease stress when they are worried.

When to send one

Confirmations make sense for:

What a good confirmation includes

  • A clear subject line, such as "We received your request"
  • A short thank you
  • A summary of what they sent or booked
  • What happens next and roughly when
  • A phone number or reply address for anything urgent

Keep it brief. A confirmation is not the place for a long sales pitch.

Mistakes to avoid

  • No way to reply. Avoid sending from an address nobody reads
  • Promising what you cannot deliver. Do not say "we will call within 5 minutes" unless you will
  • Too many emails. One confirmation and perhaps one reminder is enough
  • Landing in spam. If confirmations do not arrive, the problem is often the setup behind the email. See what email deliverability is

Test it yourself

After setting it up, submit your own form from a phone and check that the email arrives, includes the right details, and looks readable on a small screen. Check the spam folder too. Repeat this check from time to time, since small changes to your website or email setup can quietly break it.

A confirmation takes minutes to build and keeps working all year. For most businesses, it is one of the easiest ways to look dependable.
